Personal Assistant/Household Manager

Our firm has an excellent opportunity for a Personal Assistant/Household Manager supporting a key executive. You will utilize your expertise to assist in fundamental and complex personal support and for some professional responsibilities. You will also take on special projects as needed, utilizing strong problem-solving skills.

The role is full-time and located in the Chicago area. Recurrent travel around Chicagoland and to Burr Ridge area is required. The position is eligible for a comprehensive benefits package.

The Position:

• Manage and coordinate calendars, set and monitor appointments (professional and personal).
• Take care of daily assignments, errands, monitor household organization and upkeep - be point of contact for vendors and service providers.
• Plan, select and coordinate restaurants, make reservations and entertainment activities (both national and international basis)
• Arrange travel plans including international travel itineraries.
• Assistance with various personal life management tasks of the executive, her family, and the household (paying invoices, staffing, home operations, etc.)
• Carry out and perform household errands (laundry and cleaners, grocery shopping, meal preparations, package shipping, etc.)
• Assist with home entertainment (including planning menus, securing, and supervising vendors, scheduling assistance to support events, serving guests, etc.)
• Select, procure, wrap, and ship gifts for clients, friends, family, etc.
• Work alongside and provide backup to an Executive Assistant for the executive and family.
• Provide periodic dog sitting and pet care activities.
• Travel to other household locations (out of state if necessary).

The Person:

• Previous experience as a Personal Assistant or other similar administrative role.
• Experience handling confidential information in discreet and trustworthy manner.
• Ability to work independently, proactively and set priorities.
• Available to work flexible hours.
• Ability and experience in anticipating needs and preferences of executives.
• Exceptional organizational and time management skills
• High-level travel management experience, including sourcing and evaluating restaurants, hotels, and entertainment.
• Excellent written and verbal professional communication skills (in both one on one and group settings) required to build rapport, client service and teamwork.
• Ability to work tactfully and diplomatically in a high-level environment.
• Highly proficient with MS Office software (Word, Excel, PowerPoint, and Outlook Calendar)
• Requires methods of own transportation to accommodate flexible Chicagoland travel.
• Bachelor's degree - an advantage or equivalent experience
